When a “Hurricane Warning” is issued for any of TransFloridian’s service areas, the following steps will be conducted in chronological order to ensure the smoothest transition possible
The Day the Hurricane Warning Is Issued
1. Send an e-mail to ALL Hotels in the evacuation areas
2. Send a Fax to ALL Hotels in the evacuation areas
3. Notify ALL employees / sub-contractors / wholesalers
a. Find out if anyone needs accommodations
b. Offer cell phone numbers for emergency contacts
4. Issue Press Release To Affected Areas
5. Assist in Evacuation Plans as necessary / scheduled trips
6. Locate Hotels In an Area 100 miles or more from the target area
7. Access Cash to pay for fuel for at least one week’s worth
The Day before the Hurricane is expected to reach land
1. Update Web Site of office and route closure
2. Notify ALL Wholesalers / Associations / Affiliates of closure
3. Contact Gas Stations with Generators / Notify them of our needs
4. Perform final evacuation trips as necessary and collect passenger contact information for return trips
5. Ensure all Fleet is Fueled and in a safe location
The Last Hour before Office Closure
1. Transfer Toll-Free Number to Cell Phone
2. Back Up All Files To In-House and Remote Server
3. Unplug all computers and electronic equipment
After the “All Clear” has been issued
1. Call Employees and check on their status and availability
2. Assess Conditions of Fleet and Equipment
3. Contact all evacuated passengers for return trips
4. Return Toll-Free Number to land line when applicable
